Administrator - Resident Services

We are seeking an Administrator to support the Resident Services team at our  Stockwell Office.

Main duties of the Administrator - Resident Services:

  • Provide proactive and flexible administrative support to all Resident Services teams across the business, including Property, Tenancy, Empty Homes & Lettings, ASB and Sheltered & Supported. Ensure performance targets and budgets are met, invoices correctly processed and a comprehensive service is delivered that meets the needs of internal and external customers.
  • Provide an efficient administrative support service throughout Resident Services across all key service areas, including the activities outlined below:
    • DVLA checks; Manage the key system maintaining a record of all communal and fob keys, ordering and logging replacements; Manage non-residential voids ensuring records are up to date, and void loss to the organisation minimized; Process parking enquiries; Support the Heads of Service to provide performance data across Resident Services, including performance management data for PFI contracts; Provide general administrative support for local teams including stationery ordering, local key management and post; Provide administrative support to special project teams across Resident Services; Manage the reconciliation and monitoring of pre-paid cards across resident services; Manage local receptions where relevant; Maintain Housing Management files including electronic files and record keeping.
    • Ensure performance targets and budgets are met delivering the efficient processing of invoices across resident services:
      • Ensure all utility bills are registered through Monarch; monitor provision of meter readings and the correct processing of invoices; Manage chip and pin reconciliation of customer payments; Promptly raise and pay all invoices across Resident Services, dealing with queries from suppliers on payments; Invoice rents for BCE, and any other rental recharges; Review moving home assessment form to ensure correct payment of utilities and meter readings obtained for previous residents. Update the void management system in Northgate during the empty homes and lettings process to ensure there is a clear audit of Council tax of the empty home; Claim back Council tax or utilities that have been paid for which the Hyde Group is not liable; Request Council tax exemptions from local authorities.
